Full-Time Office Manager

The Criterion Collection is hiring an office manager.
 
Criterion is a New York-based company of about 50 people devoted to bringing a carefully curated library of international classic and contemporary films together with an audience of passionate movie lovers by any means that makes sense. With in-house departments devoted to design, editorial, image and sound restoration, production, and post-production, we produce a celebrated line of DVDs and Blu-rays; publish an online magazine, The Current; release new films and restorations in theaters through our partner company, Janus Films; and run a streaming service, The Criterion Channel.
 
The office manager takes charge of the care and feeding of the company as a whole, tending to the shared infrastructure and support systems that are the foundation of everyone’s happiness and productivity. Supervising one general office assistant and one intern, the office manager is responsible for everything we count on every day -- that the phones are being answered, bills paid, packages shipped and mail delivered, supply cabinets carefully stocked, company calendars and contacts updated, necessary repairs being made, problems efficiently solved. Just as importantly, the front office team helps to set the mood and tone for the office as a whole, greeting our guests and staff, arranging company outings and events, supervising the internship program, and making sure there are enough cheerful hands on deck when a major project comes through.
 
On a typical day, the front office team opens the office at 9:00 am and makes sure there is always someone at the front desk until 6pm to greet guests and staff, answer phones, and help with anything that needs doing. That may mean helping with set up and clean-up for company lunches two days a week, assisting the theatrical and publicity teams with marketing materials and event support, helping with customer service requests, checking the inventory in our product closet and reordering as necessary, making sure the screening room is scheduled and set up for a screening, or coming up with an efficient, low-stress plan for shipping 500 packages in the last days of the year. It may also mean wrestling with our finicky air conditioning system, calling the plumber, maintaining a strong relationship with the building staff, and keeping the whole company posted on information that may affect us.
 
You might be right for this job if you have at least two years’ work experience in an office or studio, keep your cool in chaotic moments, and know how to keep yourself organized. If you get satisfaction from helping out any way you can and are always on the lookout for ways to keep things running smoothly, you’ll find plenty of opportunities to use your instincts and initiative. Attention to detail is important: lists, spreadsheets, and calendars are a very important part of this job. Neatness needs to come naturally, because the front office workspace is the first thing any visitor to Criterion sees. Strong interpersonal and writing skills are a must, because there’s a lot of communication involved, both within the company and with our customers, guests, vendors, and the building maintenance staff.
